In large environments with hundreds of network-based AV devices, something as simple as locating a single problematic endpoint can take days if records aren’t current. Without clear documentation, support technicians are left retracing decisions, scanning networks, and reverse-engineering systems under pressure.

Security adds another layer of complexity. Almost every modern AV device requires authenticated access. If credentials are not accurately recorded, access can be lost entirely. Even when a device is physically located, the ability to update, reconfigure, or repair it may be blocked without accurate records of access, ownership, and configuration.

And documentation has to stay current. AV environments change constantly: firmware updates, hardware replacements, network adjustments, room changes. When those changes aren’t captured, documentation quickly becomes obsolete – slowing support when it’s needed most.
